FarmTrack Privacy Policy

FarmTrack is a task-management app used internally by a farm's staff to assign, track, and complete daily work. This policy explains what information FarmTrack collects and how it's used. FarmTrack does not have public sign-up — every account is created directly by the farm's management.
Information we collect
- Account information: name, email address, login credentials, and assigned role (manager, supervisor, or worker), created on your behalf by your company's management.
- Task data: task titles, descriptions, categories, due dates, completion status, and comments you or others enter.
- Photos: photos you choose to attach to a task, stored securely in our backend storage.
- Location (optional): if you choose to attach a location to a task, that coordinate is stored with the task.
- Push notification token: a device identifier used solely to deliver task notifications to your device via Apple's push notification service.
- Language preference: your selected display language. FarmTrack supports more than a dozen languages, and translation happens on your device — see "Translation" below.
How we use this information
Information is used only to operate FarmTrack: assigning and tracking work, displaying photos and comments to relevant team members, sending task notifications, and (for management accounts) creating periodic backups of farm task data for recordkeeping.
Who can see your information
Task data, comments, and photos are visible to your farm's management and to teammates assigned to the same tasks, as determined by your role. Workers cannot see who created or completed a task; this information is only visible to management.
FarmTrack support access
FarmTrack operates a support account that can help you set up and fix your company's account. We want to be exact about what it can and cannot do, because the limits below are enforced by our database and not merely by our policy.
- Configuration, always. The support account can see and change the setup of your company — its name, divisions, categories, equipment lists and user accounts. This is what lets us help you when something is wrong.
- Your work, only when you allow it. Access to your tasks, photos, comments and hours must be switched on by a manager in your company, in the app, under Settings → Oversight → Advanced → Privacy & support access. You choose the length — 7 or 30 days — and it ends by itself when that time is up. You can end it earlier at any time.
- We cannot grant it to ourselves. The permission to switch support access on belongs to your company's own accounts. The support account is not a member of your company and the database refuses the request.
- Time records are off limits. The support account cannot edit or delete anyone's clocked hours, and cannot alter a task once it has been completed. Those are your payroll and work records, and a third party changing them would destroy their value as a record. Only your own management can correct them.
- Everything it does is recorded. Any change the support account makes to an account in your company is written to an audit log that you can read in the app, on the same screen. Nobody can edit or delete that log — including us.
Existing companies were granted a 180-day support window when this system was introduced, so that support in progress was not interrupted. You can end it at any time on that screen.
Translation
FarmTrack translates text on-device so each person can read it in their own language. No text is sent to an external translation service — translation happens locally on your device.
Data sharing
We do not sell your information or share it with advertisers. Data is processed by our backend infrastructure provider (Supabase) solely to operate the app, and by Apple solely to deliver push notifications. We do not use third-party analytics or advertising SDKs.
Data retention and deletion
Your information is retained as long as your account is active. Periodic backups of task data are kept for a limited, management-configured number of cycles. To request deletion of your account or data, contact your farm's management or email us at the address below.
Children's privacy
FarmTrack is a workplace tool for farm staff and is not directed at or intended for use by children.
Changes to this policy
If this policy changes, the "Last updated" date above will be revised.
